AI data retention is the period and conditions under which an AI service stores synced data, uploaded files, conversations, memories, logs, or information derived from them.
Plain-English Explanation
It covers several categories that don’t all behave the same way: data synced from a connected app, files you’ve uploaded directly, memory the system has generated about you or your work, logs of what happened, embeddings created from your content, your conversation history, backups, and any other information derived from the above. A service might retain each of these on a different timeline, under different rules, for different reasons.
The Distinction That Trips People Up
A few actions sound like they should mean the same thing, and don’t. Disconnecting a connector, deleting synchronized data, deleting generated memory, deleting chat history, and deleting an account are not always the same action, and a service may not treat them that way even if a user assumes they are. Disconnecting Google Drive or Gmail from an AI assistant, for example, may stop new access going forward without necessarily deleting the data the service already copied while the connector was active. If retention and deletion aren’t handled the way you’d expect, the gap usually shows up right here, at the difference between “stop reading this” and “forget what you already read.”
Why It Matters
Before connecting anything sensitive to an AI service, it’s worth knowing five things: what the tool can access, what it actually copies rather than just reads, how long it stores that information, how deletion actually works if you want it gone, and whether retained data gets used to train future models. None of these are guaranteed to be obvious from a connector’s on/off switch.
Example
A team connects a support inbox to an AI assistant for a few weeks of testing, then disconnects it when the pilot ends. If they assume disconnecting also erased everything the assistant read during that window, and the provider’s actual policy retains synced content for a fixed period afterward, that gap is exactly what a data retention policy is meant to spell out, and exactly what’s easy to miss if nobody reads it.
