AI Prompts for Managers
Prompts for feedback, planning, delegation, team updates, decision-making, and better management communication.
Who These Prompts Are For
Managers, team leads, founders, and anyone responsible for a team. These prompts help you write feedback, plan priorities, delegate, write team updates, run meetings, and make decisions, clearly and consistently.
How to Use These Prompts
Copy any prompt into ChatGPT, Claude, Gemini, or another AI tool. Replace placeholders like [situation], [task], and [goal]. Keep personal and sensitive details out, describe situations generically. Edit outputs to sound like you.
Feedback Prompts
Write constructive feedback:
Help me give constructive feedback.
The situation (generic, no names): [describe the behavior and its impact]. The change I want to see: [describe].
Write it using a clear structure: the specific observation, the impact, and the request — balanced and respectful. Give me a version for written notes and a way to open the conversation.
Prepare for a difficult conversation:
I need to have a difficult conversation about [situation, described generically].
Help me prepare: how to open it, the key points to make, how to stay constructive, likely reactions and how to respond, and how to end with a clear next step. Keep it fair and human.
Write positive recognition:
A team member did [describe what they did well and the impact].
Write specific, genuine recognition (for a message or in a meeting) that names exactly what they did and why it mattered — not generic praise. Match a [warm/professional] tone.
Delegation Prompts
Delegate a task clearly:
Help me delegate this task: [describe the task and the outcome I need].
Write a clear handoff that includes: the goal, the context, what "done" looks like, the deadline, the resources/authority they have, and where to check in. Specific enough that they can run with it.
Decide what to delegate:
Here's what's on my plate: [list tasks].
Help me decide what to delegate vs. keep: which tasks are good to hand off, which need me, and who/what type of role each suits. Note what I'd need to provide for a clean handoff.
Team Update Prompts
Write a status update:
Write a team status update.
Period: [timeframe]. What we accomplished: [list]. What's next: [list]. Blockers: [any].
Make it brief, scannable, and clear about priorities and any decisions needed. Match a [professional/friendly] tone. Should take 2 minutes to read.
Write an announcement:
Write a clear team announcement about [change/news].
What's changing: [describe]. Why: [reason]. What it means for the team: [impact]. What they need to do: [action].
Be transparent, address likely concerns, and end with where to ask questions. Calm and clear.
Planning Prompts
Plan team priorities:
Help me set priorities for my team for [timeframe].
Our goals: [describe]. Current workload/projects: [list]. Constraints: [describe].
Suggest the top priorities, what to deprioritize, and how to sequence the work. Flag risks and where I'll need to make trade-offs.
Plan a project:
Help me plan this project: [describe the goal and scope].
Give me: the phases/milestones, key tasks, rough sequencing, who/what's needed, risks, and check-in points. Output as a clear plan I can share with the team. Keep it realistic.
Create a meeting agenda:
Create an agenda for a [type] meeting about [topic], lasting [time].
Include: the objective, the topics with time allotments, who owns each, decisions to make, and a clear outcome/next steps section. Keep it focused so the meeting doesn't sprawl.
Decision Prompts
Think through a decision:
Help me think through a management decision: [describe the choice and context, generically].
Lay out the options, the pros and cons of each, the risks, who's affected, and what I might be missing. Then suggest a recommendation with reasoning. The call is mine — give me clarity.
Pressure-test a plan:
Here's a plan/decision I'm leaning toward: [describe].
Play devil's advocate: what could go wrong, what assumptions am I making, who might object, and what would make this fail? Then suggest how to strengthen it. Be direct. Continue learning

Frequently Asked Questions
Can AI help me give feedback?
Yes, AI can help you structure feedback to be clear, specific, and balanced, and find the right words for a tough conversation. The judgment about what to say and the relationship is yours; AI helps you say it well. Always make feedback truthful and your own.
Should I share team members' personal info with AI?
No. Don't paste names, performance details, or sensitive personnel information into consumer AI tools. Describe situations generically (e.g., 'a team member who misses deadlines') and keep the specifics out. Follow your organization's data policy.
How can AI make me a better manager?
It speeds up the writing and structuring work, feedback, updates, agendas, plans, so you spend more time actually managing. The prompts below help you communicate clearly and make decisions, which is most of the job.
Will AI-written messages feel impersonal?
Only if you send them raw. Give the AI your tone and the real context, then edit so it sounds like you. Used well, AI helps you be clearer and more consistent, not more robotic.
